Job Description

The Legal Third Party Management Office (Legal TPMO) is a department within Legal that manages the third party oversight of vendors for all Legal practice groups.   Legal TPMO provides consistent monitoring of third party activity in order to ensure compliance to the Corporate Third Party Oversight (CTPO) standards implemented to comply with regulatory requirements across the Legal organization. This position is responsible for facilitating the third party  "life cycle" phases (opportunity assessment, steady state monitoring, disengagement Legal outside counsel and third party suppliers.
 
The Legal TPMO DMG Manager  should be a subject matter expert in Third Party Oversight (TPO) data and processes in general, with specific responsibility for the information and processes governing both outside counsel and all other vendors supporting Legal that are managed through the Legal TPO Program.  This position will oversee day to day responsibilities for all aspects of engaging Legal vendors, tracking and uploading TPO information into the Legal TPMO SharePoint and other TPO databases and applications.  This position requires a strategic thinker who is experienced in building relationships across lines of business and in an extended team environment, leveraging technology solutions in managing process and workflow as well as being well versed in third party management policy and procedures. The ideal candidate will work closely with Legal attorneys & staff, Sourcing partners, Legal Business Solutions, Outside Counsel Engagement Management department and the Corporate TPO Management team.
 
Primary Responsibilities
 
  • Assist Legal TPO Executive Director in driving and operationalizing the strategic vision for DMG- incorporating the greater Corporate TPO and Legal COO goals and objectives
  • Participate in all corporate initiatives and projects impacting Legal TPO-DMG such as technology improvements (such as new legal matter management technology, vendor inventory and risk rating applications implementations) through all phases from Business Requirement Design (BRD) to UAT to implementation
  • Oversight of the day to day responsibilities of the DMG department including:  daily intake and review of Opportunity Assessment (OA) forms including overall workflow for the law firm process engagements as well as non-law firm Standard Engagement process
  • Partner with Corporate TPO and other TPO stakeholders to maintain Legal TPO compliance to standards and carry out strategic goals
  • Present department metrics and strategic initiative updates to senior management
  • Review and analyze DMG metrics; establish internal service level agreements identify deficiencies and root cause issues; implement solutions. Manage risks, issues, and any action items.
  • Support and positively influence change management; support staff and colleagues through process changes
  • Communicate to staff and colleagues in a respectful, clear and inclusive manner and foster a culture of engagement and continuous improvement.
  • Monitor and address corporate scorecard metrics to ensure exceptions are identified and cleared; metric scorecard meet and exceed thresholds
  • Provide support and exceptional customer service to internal customers for all aspects of Legal TPO requirements, specifically the responsible attorneys and professionals in charge
  • Produce timely, accurate and complete management reports. Review and interpret the same to administer the Legal TPO DMG process
  •  Understand in detail the Legal outside counsel retention policies and procedures, Corporate and Legal Alternate TPO policies, Third Party Risk Management (TPRM) policies and operations systems and processes
  • Recommend enhancements to improve DMG data quality, workflow and process improvements.  Help develop solutions to operational challenges through end to end process review and redesign.
Qualifications
 
  • BA degree required; MBA preferred
  • 5 -10 years management experience; law firm experience a plus
  • Strong operational control background; process improvement and  project management experience
  • Proven ability to manage staff and lead a department in a complex and ever changing environment
  • Experience and /or a strong understanding of third party oversight or vendor management
  • Self- starter, critical thinker who is able to prioritize multiple initiatives
  • Excellent time management skills, while maintaining a high attention to detail
  • Adaptable, versatile and flexible
  • Highly motivated with positive ‘can do’ attitude
  • Strong communication skills, including oral, written and presentation
  • Strong interpersonal skills to build relationships and networks across all levels of management.
  • Working knowledge of SharePoint & proficient in  MS Office tools
