Wealth Management - CWM Operations - Senior Site Administrator

 As a Site Administrator, you will perform diverse administrative functions requiring logistical coordination, initiative and sound decision making and management of certain projects with other administrators in other sites supporting the CWM site operations. You will rely on excellent organization skills and the ability to effectively handle multiple priorities with timely follow through. You will need to adapt procedures, processes and techniques to the completion of assignments and in line with the department’s activities and goals. Duties also include on boarding, Real-estate moves, project coordination, organizing internal and external client meeting. This role will be part of a multi-site team to ensure cross coverage.

• Support team under senior executives (~10-20 as needed)
• Schedule internal/external meetings and appointments; coordinate conference rooms /calls and disseminate all logistics to meeting attendees
• Client Conference Event Planning Skills – Organize, gather and enter details for upcoming client events / meetings / Town Halls / Group Management Meetings
• Answer phones professionally, field phone calls, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner (internal)
• Manage IT inventory
• Ensure GREDL Application is up to date with current Real-estate
• Assist in ad hoc technology moves
• Use of JPMorgan internal databases: IBID, EURC, e-Purchase (Ariba)
• Expense Management – Epurchase, Ariba, SAP
• Distribute incoming mail and faxes, prepare and send packages via mail, messenger and federal express
• Assist with overflow, special projects, assistant back-up coverage and day-to-day tasks
Lead and coordinate in adhoc projects as requested
• Compliance – Manage sensitive data policy requirements and required reporting for team
• Provide administrative support for the team as defined
• Develop and maintain electronic files as needed
• Assist with staff onboarding and off boarding which includes requesting equipment setup and system access
• Manage general office needs such as ordering supplies, mail distribution, facilities management and floor maintenance
• Work cooperatively with national team, in positive partnership to back up each other smoothly

• Use of Microsoft Suite: Excel, Word, PowerPoint, and Outlook
• Ability to learn procedures and proprietary systems quickly
• Use of JPM Internet/Intranet



• Self-starter, ability to work in a fast-paced team environment
• Willing and able to learn the business and fully understand how and why tasks satisfy business needs
• Interpersonal and communication skills, both written and oral, and excellent telephone etiquette
• Organized and detail-oriented with strong commitment to accuracy
• Handle regular activities without prompting, and escalate appropriately
• Use of tact and discretion when dealing with confidential matters; proven experience interacting with senior management
• Ability to work closely with other site administrators
• Sound judgment and problem-solving skills
• Confidence to complete projects with limited supervision
• Must exhibit a high degree of motivation, sense of urgency and professional demeanor
