The Role

As an Executive Administrative Assistant you will be responsible for a range of administrative functions including meeting coordination, active calendar management and arranging travel.     Additional responsibilities will include providing support for the Client Service branch office such as   processing branch mail and checks.  This role is based in New York and reports directly to the Regional Service Manager

Key Accountabilities
  • Perform comprehensive administrative support including active calendar management;
  • coordination of meetings and events and preparation of presentation materials.
  • Coordinate timely and thorough responses to Service projects; follow up regularly with team members; generate summary reports for management
  • Book international and domestic travel arrangements, fulfill Cross Border travel approval requirements, and organize itineraries. 
  • Process timely and accurate travel and expense reports
  • Maintain branch office records in accordance with Private Bank procedures and industry regulations.
  • Receive incoming mail, prepare for supervisory review, and coordinate delivery.
  • Organize mailings to clients via express mail; track delivery; resolve issues.
  •  Manage general office needs such as ordering supplies, mail distribution, and floor maintenance.

  • College degree or equivalent certification preferred
  • Spanish fluency strongly preferred; Portuguese a plus
