Executive Receptionist- Operations Lead

Job Description

Assisting with the day to day running of the Lobby Reception.  Leading all technology efforts related to lobby operations including EMS system, visitor registration and generation of visitor reports.  In addition, assisting in coordinating team schedules and ensuring desks are appropriately covered.  Managing the visitor registration and welcome processes to ensure the highest standard of service is provided to all JPMCC internal and external clients, and that the JPMCC codes of conduct are observed. You will liaise with: All JPMC and vendor personnel within JPMC, all visitor and client contacts of the Lobby Reception, GS&I, EMS and GTI teams
To deliver first class business in a first class way, ensuring the highest standards of service are maintained through proactive and competent administrative and technical support within the Lobby Reception.
 
Core Responsibilities
 
 
  • To manage the welcome process  and registration of visitors and clients to the building according to security procedures
  • To manage the visitor access card procedure for JPMC premises
  • To be informed and aware of all visitor and client arrivals including Gallery Reception and VIP visitors
  • Deliver service excellence to all visitors and clients of JPMC, offering a flexible and positive approach to all interactions, providing clients with a high quality and consistent product
  • To follow JPMC First Impressions guidelines at all times, in line with the prescribed standard operating procedures
  • Be the first point of contact for general enquiries and transferring calls to the correct department
  • Generating and printing daily reports for all visitors to the building making certain changes are updated and communicated accordingly
  • To take responsibility for overcoming issues affecting service standards and to communicate any ongoing/potential issues that need to be addressed, ensuring effective communication at all times
  • To maintain a positive and professional poise throughout all business dealings
  • To present a polished image, following uniform guidelines without exception
  • To coordinate all client or host needs prior to their arrival and handle changes, additions or deletions with operations, reception and food and beverage staff whilst following the prescribed SOP
  • Be knowledgeable through seeking out accurate and up to date information at all times, reviewing details of each allocated event/meeting/ visitors for the coming day at the daily function/ operations meeting
  • Ensure EMS information is always up to date and participate in any EMS initiatives related to the Lobby Concierge team
  • To man the Lobby Reception Desk within opening hours and as required on a day to day basis as required
  • To ensure that the Lobby Reception Desk remains tidy, organized and ready for business
  • To ensure that  all Lobby areas, including the reception, seating area, corridors, washrooms and public spaces are presentable at all times
  • Ensure that  adequate supplies of stationery and sundries are available for the Reception Desk and request new orders when required
  • To add value, offering support to other departments as requested, maintaining confidentially pertaining to business matters
  • Assist with general enquiries through excellent building and local knowledge
  • Client-facing experience
  • Advance knowledge and competency with technology systems
  • Reception experience within a corporate, leisure or hospitality environment
  • Track record of quality service provision
  • Strong interpersonal skills
  • Highly organized; ability to handle multiple tasks and apply judgment to prioritize
  • Strong Computer Skills, (MS Office; Room Booking System eg EMS)
  • Flexibility to deal with a fast-paced, diverse environment
  • Excellent communication skills; both oral and written
  • Team player
  • Work comfortably under pressure and observe deadlines
  • Highly motivated
