Position Summary:

The Executive Assistant is primarily responsible for support of the Head of CIB Operations (HOO) and Head of Fund Services Operations (HFSO).   The EA will also ensure the smooth running of all administrative procedures within Operations.


The position requires an experienced and enthusiastic individual who is able to take on multiple tasks and prioritise effectively.  This is a very busy and varied role which requires someone with a flexible attitude toward taking on new responsibilities and the ability to build excellent relationships within the teams, senior management, as well as with other support functions throughout the business.


Key Responsibilities:

  • Working proactively, anticipating the needs of the HOO and HFSO, providing reminders and taking responsibility for following up of issues and tasks
  • Collating and submission of all high level management reporting
  • Managing diary's and emails and respond or redirect where appropriate
  • Coordination of all travel requirements, as well as expense claims and receipts
  • Organising meetings, conferences and teleconferences within several different time zones
  • Be a fully engaged member of the management team; attend management meetings and provide guidance, reminders and updates as required
  • Ensuring the proper handling and safeguarding of highly classified or sensitive information

Qualifications & Experience Required:

  • The individual will have at least 5 years experience in a busy team environment at a similar level
  • Excellent MS Office skills, particularly Word, Powerpoint, Excel & Outlook
  • Demonstrate a flair for fast understanding of databases and online administrative systems
  • Ideally have experience within the Financial Services industry
  • Demonstrate the ability to use common sense
  • Experience in working on projects
  • Has the confidence to support and be a role model to other assistants in the operations space
