The Data management role is a key integral component of the PB EMEA and LatAm events team and will assist in all aspects of client event activities and how they are governed by Swiss Regulation.  The main responsibility of the role is to work with senior event managers in both EMEA and LatAm markets to manage client data during the event process (Nomination, Execution and Completion) and ensure that all required Legal and Compliance requirements and approvals are followed and in place before invitations are issued. The data manager will primarily focus on markets within the PB EMEA and LatAm regions but can be involved in large events targeting a global client base.


Given that the Private Bank is involved in over 220 events per year, the job demands interaction with colleagues on the EMEA and LatAm regional events team, Global event team, marketing, PB EMEA and LatAm market managers as well as Legal and Compliance Colleagues in both London and Geneva. Highly pressurised position, demanding accuracy and long hours.


Main Duties:

  • Nomination Template/Data Management:
  • Responsible for coordinating the collection of nomination data from EMEA GVA and LATAM GVA
  • Once data is collected, response for submitting the data to GVA legal and compliance in order to ensure the information provided is appropriate.
  • Responsible for following up with bankers to collect any missing information and provide back to Legal and Compliance
  • Once final date is approved, submitting data to the appropriate event planner.
  • Invitation Distribution: 
  • Once names have been approved by the Market Manager or globally, responsible for distributing the invite (with Geneva disclaimer) to Geneva bankers.
  • Responsible for collecting the GVA RSVPs and sending back to the respective event planner.
  • Biography Collection:
  • If biographies are required, responsible for collecting biographies from the respective bankers and share them with event planners in a timely manner.
  • GVA Updates:  Responsible for being in tune with GVA Legal and Compliance providing updates on changes to regulations to the global events team.
  • Post Event Requirements:  Anti Corruption Check:
  • Final GVA attendee lists are to be shared with GVA Compliance post event and following internal procedure. 
  • Deletion of Client Data:

  • Ensuring that the event planner managing the event deletes any GVA information from their master list
  • Ensuring that a list of attendees is kept on the Swiss shared drive only.
  • Housing Final Data Lists:
  • Convert real name back to code name for compliance check and provide data requested by Legal and Compliance to ensure in line with Cross Border regulations.
  • Other roles:
  • Invoice Processing and Expense Management for EMEA GVA Event Planner
  • Roadshows: Monitor receipt of completed registrations forms as part of Prospects Registration process (Swiss and UK Regulation) required before attendance at presentation.
  • Participate in weekly team meetings providing regular updates.
  • Travel: Job will require travel for at least a week in the Autumn of 2016 (within Europe)


Skills Required:

  • A minimum of two years prior experience in data management; ideally in the corporate financial sector
  • Prior experience in data management
  • Must think strategically and creatively; identifies problems and offers creative solutions
  • Must be able to multi-task and work under tight deadlines within a fast paced environment
  • Excellent and exceptional attention to detail
  • Ability to prioritise workloads to meet internal client demands
  • Excellent analytical, verbal and written communications skills
  • Confident individual able to demonstrate utmost discretion and professionalism at all times
  • A strong team player who is  committed and enthusiastic in approach and has a flexible attitude towards working hours and travel
  • Proficiency in Excel, Word & Power Point – Knowledge of Access is a great plus
  • Languages preferred – Fluent English required
  • Good knowledge of Swiss legal requirements preferred and ability to keep up to date on legal changes

All internal moves will normally take place on the same grade and same salary. Salaries are reviewed annually in February. Exceptions to the rule regarding transfer on current salary may include a move between geographic locations.
