Equity Research - Administrative Assistant - Fixed-term Contractor - Corporate Investment & Banking - Japan

Job Description



To provide general administrative and secretarial support to Japanese Equity Research.  The scope of responsibilities includes the following:

  • Responsible for administrative duties, such as coordination of administrative/departmental procedure, analysis/distribution/collection of information
  • Schedule appointments and management of calendars
  • Room booking, arranging teleconference and video facilities as required
  • General office administration including in filing, maintaining record retention
  • Answer telephone calls in a professional manner and record telephone messages accurately
  • Handle travel and lodging arrangements
  • Order office supplies and stationery
  • Expense administration such as invoices handling, and payment arrangements
  • Other ad-hoc duties that arise on day to day basis


  • 3-5 years of secretarial experience and with substantial experience in performing administrative assistance preferably in the financial services sector
  • Attention to detail, excellent organizational skills, good prioritization skills, discretion with confidential information, good interpersonal skills
  • Versatile and dynamic to support a team
  • Conscientious, confident, analytical and highly motivated
  • Able to work independently with limited supervision
  • Computer literate and knowledge of Microsoft office (Microsoft Word, Powerpoint, Excel, Outlook) and other common computer application
  • Good typing capability in both Japanese and English
  • Professional verbal and written communication skills in English and Japanese
  • Ability to prepare internal/external correspondences independently
  • Have ambition to be trained up to perform simple tasks independently that are beyond mere administrative and secretarial support
