The strategy of Documentation Management Operations (DMO) is to implement a common operating model for the end to end lifecycle of client documentation across the Corporate Investment Bank (CIB) inclusive of people, process, and technology, while continuing to support our business partners/multiple constituents and to meet all regulatory requirements/demand in a controlled fashion. DMO is a global team and supports the Americas, Europe (including Middle East & Africa) and Asia regions.
 
DMO is governed by a CIB wide documentation management governance policy and framework.  More specifically we are responsible for:
  • End to end life cycle of client documentation including administration, creation of initial agreements, collection of agreements, negotiation oversight, and receipt of executed documents
  • Coordinating, reviewing, and extracting legal terms from executed agreements across products, businesses, etc.
  • Recording and distributing information electronically to support credit, securities lending, derivative trading, and the exposure and limits monitoring for the firm
  • Providing crisis management support to Legal, Compliance, and Front Office in the event of client default, or country/industry business disruptions
  • New business management to onboard new products, businesses or regulations
  • Change management to support technology and process improvements
Key responsibilities of the Executive Lead include the following:
 
DMO requires a high caliber individual for a senior level role to manage the North America based CIB Documentation Management organization covering functions across document lifecycle services, product development, project management, planning, and controls.  The successful candidate will demonstrate excellence in partnership across DMO by executing the strategy and vision for the Documentation Management Center of Excellence structure, while partnering with the APAC lead to oversee the build-out of the target end state operating model.
 
This role also includes senior involvement with internal partners across Relationship Managers, Technology, Finance, Operations, Product Managers, Legal, Compliance, Wholesale Client Onboarding, Reference Data, and Credit across the CIB. The main responsibilities of this newly created role include the following:
  • Oversight of ALL global functions and services provided by the Documentation Management Center of Excellence (COE) in North America
  • Challenge the status quo in a controlled fashion
  • Ensure adherence to daily controls (internal & regulatory)
  • Provide transparency into the organization through well-structured metrics, reporting and capacity planning
  • Hold Steering Committee and Project Control Committee (PCC) meetings to communicate frequently with multiple stakeholders across lines of businesses and key functional areas
  • Execute on the strategic design and implementation of key initiatives in DMO
  • Reengineer processes by streamlining functions
  • Propose short and long term projects to improve the team’s risk management and infrastructure capabilities
  • Hire, develop, stretch, motivate, and retain top diverse talent in an inclusive environment
  • Set performance objectives and participate in regular appraisal processes for direct reports and managers across the team

Specific Required Experience:
  • Minimum of 10 – 15 years of experience in financial services related industry required
  • At least 8 years of direct operational management experience for teams of 25+ headcount (preferably across business lines and locations)
  • Strong financial product knowledge and understanding of the transaction life cycle
  • Previous Legal Documentation, Paralegal, Onboarding, and/or Account / Product Set up and CIB experience is preferred
  • Regulatory change and implementation expertise (preferred)
  • Demonstrated experience with Microsoft Office products to include: Excel, Power point, and Word
